Center For Active Living, Program Manager

Position Overview: The Program Coordinator for the Center for Active Living (CAL) is a guest-experience–driven role at the heart of ACCA’s vibrant community hub. This position is ideal for someone with a background in hospitality, customer service, events, or community experience who loves creating environments where people feel welcomed, known, and excited to return.
The Program Coordinator is often the first impression of CAL and a key steward of the daily member experience—ensuring programs, spaces, and interactions are warm, organized, and seamless. Working closely with the Director of Community, this role helps turn great ideas into meaningful experiences that invite older adults to connect, move, learn, and belong.
This role matters deeply to ACCA’s success: it is where strategy meets lived experience, and where first-time visitors become members, regulars, and advocates.
Program Coordination & Experience Design (Experience-Focused)
- Coordinate a dynamic mix of social, wellness, educational, cultural, and recreational experiences that reflect ACCA’s vision of aging well at every stage.
- Translate program ideas into polished, guest-ready experiences—managing schedules, spaces, instructors, supplies, registration, and communications.
- Ensure every program feels intentional, welcoming, and easy to navigate from arrival to departure.
- Support special events, trips, and signature CAL experiences that build energy, connection, and word-of-mouth enthusiasm.
- Track participation, attendance, and feedback to continuously refine and elevate the member experience.
• Support the coordination of the Community Dining Program as a distinct and vital CAL offering that promotes nutrition, social connection, and daily engagement.
• Work collaboratively with dining staff, volunteers, and partners to ensure a welcoming, well-organized dining experience for participants.
• Assist with scheduling, space coordination, participant flow, and communication related to community dining.
• Help create opportunities for dining participants to learn about and engage in additional CAL programs, activities, and services.
• Support data tracking, attendance, and reporting requirements related to the Community Dining Program.
Member Engagement & Hospitality (Front-of-House)
• Serve as a front-line ambassador for ACCA and the Center for Active Living by greeting members, answering phones, and providing warm, responsive customer service.
• Guide members and guests through registration, check-in, and participation with clarity and warmth.
• Actively support recruitment of new members by offering tours, answering questions, and helping prospective participants see themselves at CAL.
• Follow up with first-time visitors, guests, and inquiries to encourage return visits and membership.
• Create a positive, inviting environment where members feel known, supported, and encouraged to participate.
• Assist with room setup, breakdown, and daily operational flow to ensure a smooth, enjoyable experience.
Staff, Instructor & Volunteer Support
• Support instructors, volunteers, interns, and partners to ensure programs run smoothly and consistently.
• Assist with scheduling, communication, and coordination for program staff and volunteers.
• Work collaboratively with the Director of Community and other CAL staff to ensure high standards of quality, hospitality, and efficiency.
Community Engagement & Outreach (Growth & Connection)
• Support outreach and promotion of programs through newsletters, digital signage, social media, tours, and print materials.
• Participate in recruitment activities such as open houses, community events, partner visits, and referral follow-up.
• Share observations and ideas to improve outreach, participation, and the overall guest journey.
• Support outreach and marketing efforts by helping promote programs through newsletters, digital signage, social media, tours, and print materials.
• Assist with welcoming new participants and guiding them through their first experiences at CAL.
• Participate in recruitment activities designed to grow CAL membership, including community events, open houses, partner visits, and referral follow-up.
• Help identify opportunities to convert program participants and community dining guests into members through relationship-building and personalized outreach.
• Contribute ideas and feedback to improve participation, engagement, and community connection.
Operations & Administrative Support
• Maintain accurate program and participant records while ensuring confidentiality and professionalism.
• Assist with documentation, reporting, timesheets, and administrative processes as required.
• Support meal service and CAL operations as needed, working collaboratively across teams.
• Ensure programs and activities follow safety guidelines, procedures, and organizational policies.
Organizational Engagement
• Participate in staff meetings, trainings, and ACCA-wide events.
• Support agency-wide initiatives, special events, and fundraising efforts as assigned.
• Perform other duties as needed to support the success of the Center for Active Living and ACCA’s mission.
- Bachelor’s degree in Recreation Management, Human Services, Public Health, Education, Hospitality, Social Work, Gerontology, or a related field preferred.
- Experience working with older adults in a community, recreation, hospitality, or service-oriented setting.
- Strong organizational skills with the ability to manage multiple details, schedules, and priorities.
- Excellent interpersonal and customer service skills; enjoys working with people and creating welcoming environments.
- Creative, outgoing, energetic, and comfortable engaging with a wide range of personalities.
- Comfort with technology including registration systems, databases, Microsoft Office, Canva, and digital communication tools.
- Ability to work independently and as part of a collaborative team.
- Flexibility to work occasional evenings or weekends as programs or events require.
- CPR and First Aid certification (or willingness to obtain).
